OwnOps LLC ("OwnOps," "we," "us," or "our") operates the OwnOps App and related services (collectively, the "Service"). This Privacy Policy describes how we collect, use, store, share, and protect personal information when you use the Service.
By using the Service, you agree to the practices described in this Privacy Policy. If you do not agree, do not use the Service.
1. Who We Are
OwnOps LLC is a Nebraska limited liability company headquartered in Lincoln, Nebraska. We provide software tools for owner-operator commercial truck drivers, including load management, document scanning and extraction, invoice and dispute generation, factoring submission, IFTA and Schedule C record-keeping, and related operational workflows.

2. Information We Collect
We collect the following categories of personal information:
Account Information. Name, email address, phone number, password (stored only as a securely hashed value; we never store or transmit your plaintext password), authentication tokens, and verification status.
Business Information. Company or DBA name, USDOT number, MC number, business address, factoring company relationships, broker relationships, and related operational identifiers.
Financial Information. Bank account routing for payment receipt (processed through our third-party payment provider; we do not store full bank credentials on our servers), invoice records, payment confirmation evidence, rate confirmations, cash flow records, and tax documentation. We treat financial information as Sensitive Personal Information under the California Consumer Privacy Act (CCPA), as amended.
Operational Data. Load records, pickup and delivery details, mileage, fuel records, IFTA-reportable jurisdictional travel, scanned documents (bills of lading, rate confirmations, invoices, receipts), and free-text notes you enter.
Device and Usage Data. IP address, device identifiers, operating system, browser type, app version, crash logs, performance telemetry, and feature usage patterns. This information helps us diagnose problems and improve the Service.
Location Data. With your permission, we collect approximate or precise location data to support load arrival detection, IFTA jurisdiction tracking, and route reporting. We treat precise geolocation as Sensitive Personal Information under CCPA. You can disable location access at any time in your device settings; some features will not function without it.
Communications. Email correspondence with OwnOps, support tickets, and feedback you submit.
3. Sources of Information
We collect information from the following sources:
- Directly from you when you create an account, configure your profile, scan documents, enter load data, or contact support.
- Automatically through your device when you use the Service.
- From third parties including public regulatory databases (for carrier verification), payment and email service providers (for delivery and processing status), credential-security services (for compromised-password screening at registration), and AI model providers (for document extraction and content generation).
4. How We Use Information
We use personal information for the following business purposes:
- Provide, maintain, and improve the Service.
- Authenticate users and secure accounts.
- Process payments and factoring submissions.
- Generate documents you request, including invoices, dispute letters, FMCSA complaint drafts, and tax records.
- Extract structured data from documents you scan or upload using AI-assisted models.
- Detect, prevent, and respond to fraud, abuse, security incidents, and violations of our Terms of Service.
- Communicate with you regarding service updates, security alerts, billing, and support.
- Comply with legal obligations and respond to lawful requests from authorities.
We do not use your data to train third-party AI models for purposes unrelated to providing you the Service. We do not sell your personal information. We do not share your personal information for cross-context behavioral advertising.
5. How We Share Information
We share personal information only with the following categories of recipients and only for the purposes described below:
Service Providers (Processors). We share information with vendors that perform services on our behalf under written agreements requiring them to protect your information and use it only for the purposes we specify. Categories of service providers include:

We periodically review and update our service providers. The current list of named providers is available on request to privacy@ownops.app.
Third Parties at Your Direction. You — not OwnOps — decide when and to whom your documents are sent. When you affirmatively direct the Service to send an invoice to a factoring company, transmit a dispute letter to a broker, file an FMCSA complaint, or deliver any other document to a third party, the Service transmits the content you authorized to the recipient you specified. OwnOps does not send documents on its own initiative and does not select recipients on your behalf. You are responsible for the accuracy of recipient addresses, the appropriateness of the content, and the consequences of the transmission.
Legal and Safety Disclosures. We may disclose information when required by law, valid legal process, or to protect the rights, property, or safety of OwnOps, our users, or the public.
Business Transfers. If OwnOps is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
We do not sell your personal information. We do not share your personal information for cross-context behavioral advertising as those terms are defined under the California Consumer Privacy Act.
6. AI-Assisted Features
The Service uses artificial intelligence to extract data from documents you scan or upload (bills of lading, rate confirmations, invoices, receipts) and to draft documents from data you enter (dispute letters, FMCSA complaints, factoring submissions). AI is a drafting aid only. AI outputs may contain errors, omissions, or inaccuracies. You are solely responsible for reviewing all AI-generated content before relying on it, signing it, or transmitting it to any third party.
OwnOps does not send AI-generated documents to third parties on its own initiative. Documents are transmitted only when you affirmatively direct the Service to send them. AI features are not a substitute for human review, legal advice, or professional judgment.
When you use an AI feature, we send the relevant document content to our AI model providers solely to provide the feature you requested. We do not authorize these providers to use your content to train their models for purposes unrelated to your request, and we contract with them to follow this restriction where their terms permit.
7. Data Retention
We retain personal information for as long as your account is active and for the periods necessary to provide the Service, comply with our legal obligations (including tax, accounting, and IFTA recordkeeping obligations that may apply to you), resolve disputes, and enforce our agreements.
When you delete your account, we delete or de-identify your personal information within 30 days, except for: records we are required to retain by law (typically 3-7 years for financial and tax records); information needed to resolve open disputes or enforce our Terms of Service; and backup copies, which are overwritten on a rolling cycle.
You may request a copy of your data or earlier deletion as described in Section 9.
8. Security
We protect personal information using industry-standard administrative, technical, and physical safeguards, including:
- Encryption of personal information in transit and at rest.
- Strong, salted password hashing; plaintext passwords are never stored, logged, or transmitted.
- Screening of new passwords against public databases of compromised credentials, using an anonymized method that does not transmit your full password or email.
- Role-based internal access controls with auditing of sensitive operations.
- Network isolation of production data stores from the public internet.
- Security event logging with deliberate exclusion of sensitive content from log payloads.
- Periodic review of our security posture and vendor practices.
No system is perfectly secure. We cannot guarantee absolute security of personal information, and we encourage you to use a strong, unique password and to enable any available account-security features.
9. Your Privacy Rights
Depending on where you live, you may have the following rights:
Right to Know. Request a copy of the personal information we have collected about you, the sources, the purposes, and the categories of recipients.
Right to Correct. Request that we correct inaccurate personal information about you.
Right to Delete. Request that we delete personal information we have collected about you, subject to legal retention requirements.
Right to Limit Use of Sensitive Personal Information. Direct us to use your Sensitive Personal Information (financial information, precise geolocation) only for the purposes necessary to provide the Service.
Right to Opt Out of Sale or Sharing. We do not sell or share personal information for cross-context behavioral advertising, but you have the right to opt out if our practices change.
Right to Non-Discrimination. We will not deny service, charge different prices, or provide a different level of service because you exercised your privacy rights.
To exercise any of these rights, email privacy@ownops.app from the address associated with your account, or use the in-app data request flow in Settings → Privacy. We will respond within 45 days (with a possible 45-day extension if your request is complex). We will verify your identity before fulfilling your request.
California Residents. The rights above apply to you under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA). California residents may also designate an authorized agent to act on their behalf, subject to identity verification.
Other State Residents. Residents of Colorado, Connecticut, Virginia, Utah, and other states with comprehensive privacy laws have substantially similar rights and may exercise them using the same contact method.
10. Children's Privacy
The Service is intended for commercial truck drivers and is not directed to children under 18. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, contact privacy@ownops.app and we will delete it.
11. International Users
The Service is operated from the United States. If you access the Service from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States. We do not currently offer the Service to residents of the European Economic Area, the United Kingdom, or Switzerland; if you are located in those regions, please do not use the Service.
12. Cookies and Tracking
The Service uses essential cookies and similar technologies to authenticate sessions, remember preferences, and operate the application. We do not use cookies for advertising or cross-site tracking. We honor Global Privacy Control (GPC) signals as an opt-out request where applicable.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and through an in-app notice before the change takes effect. The "Last Updated" date at the top reflects the most recent revision. Continued use of the Service after a revision becomes effective constitutes acceptance of the revised policy.
